UAE property management has its own rhythm: rent paid in cheques, contracts that must be registered and renewed, maintenance requests at every hour and owners who want clear reports. Paper files and spreadsheets cope for a few units and fail beyond that. This guide is for landlords, property management companies, building managers and real estate offices.
One record for every unit and tenant
Start with an organised database: each unit with its details and status, each tenant with their contact information and documents, and each contract with its dates, rent and payment schedule. When a tenant calls, you should find their contract and payment history in seconds, not by searching a filing cabinet.
Rent and cheque tracking
Many UAE rents are paid in a small number of post-dated cheques, each with its own due and deposit date. Software should record every cheque with its number, bank, date and amount, remind you before deposit dates and flag bounced or returned cheques so follow-up starts the same day. Receipts for each payment, and a running balance per tenant, prevent disputes about what was paid.
- Cheque register by tenant, unit and due date
- Reminders before deposit and renewal dates
- Receipts and statements you can print or send
- A clear view of outstanding dues
Tenancy contracts and renewals
Tenancy contracts in the UAE are registered with the relevant authority, for example Tawtheeq in Abu Dhabi and Ejari in Dubai, and each has start and end dates that matter. Your software cannot replace that registration, but it should record the contract details and registration references and alert you well before renewals, so you can discuss terms early instead of facing a vacancy.
Maintenance requests that do not get lost
Repair requests that live in WhatsApp messages disappear. Log each request against a unit, assign it to a technician or contractor, track its status and record the cost. Tenants get faster responses and owners see where repair money goes. Over time, you can spot buildings and equipment that need replacement rather than another repair.
Reports for owners
Owners want to know three things: how much came in, how much was spent and how many units are occupied. Good software produces income and expense statements by property and owner, occupancy and vacancy reports and lists of dues, without a manual spreadsheet at month-end.
Keep your records safe
Property records are long-lived. Under UAE VAT rules, certain real-estate-related records need to be kept for much longer than the usual five years, and contracts matter for years after a tenant leaves. Choose a system with regular backups and user access controls, and ask your accountant how long each type of record should be retained.
Common mistakes in property management
- Tracking rent but not maintenance cost. Owners judge you on net income, so record repairs against each unit.
- No cheque register. Loose cheques in a folder are easy to lose and hard to chase.
- Not recording contract registration references. You will need them at renewal and in any dispute.
- Mixing owners' money. Keep income and expenses clearly separated by owner and property.
- No backups. Years of records should never depend on one laptop.
Spreadsheet or software?
A spreadsheet is fine for a handful of units and one person. Move to software when you have several owners, many cheques to track, more than one user or a need for owner statements and an audit trail. When you migrate, start with units, tenants, active contracts and outstanding cheques, and add history later. Running both systems side by side for one month is a sensible way to check the numbers match.
How Netwave helps landlords and managers
Netwave property software keeps units, tenants, contracts and payments organised, with clear reports on income, dues and occupancy. It suits landlords and owners, property management companies, building managers and real estate offices. See our Property Management Software page for details.
If your team also handles leads and enquiries, our HRM and CRM guide explains lead tracking, and agents can share their details with an NFC business card at viewings.
