Retail runs on two things: fast checkout and accurate stock. Whether you run a grocery, a fashion boutique, a mobile shop or a supermarket chain, your POS should make billing quick for the cashier and give you a true picture of what is on the shelf. Here is how UAE retailers can choose well.
Start with checkout speed
Queues cost sales. Barcode scanning, quick product search and fast payment handling are the basics. Test the system with your real products: a scanner that reads cleanly, a receipt printer that does not jam and a screen that cashiers understand after a short demonstration.
For groceries and supermarkets, also ask how loose or weighed items are handled and whether weighing scales can be connected. For fashion and electronics, check how sizes, colours, serial numbers and warranty details are recorded.
Inventory that matches the shelf
Inventory is where many small shops lose money without noticing. Good retail software should give you:
- Live stock levels updated with every sale, return and purchase
- Reorder alerts so best sellers never run out
- Purchase entry against supplier invoices
- Stock adjustments and counts, with a record of who changed what
- Reports on slow-moving items that tie up cash
If you stock food, ask about batch and expiry tracking. If you stock several price levels, ask how wholesale and retail prices are managed.
VAT-ready invoices, returns and records
Retail in the UAE is subject to 5% VAT for VAT-registered businesses. Your POS should print clear tax invoices with sequential numbers, handle simplified tax invoices for consumer sales up to AED 10,000 and allow full tax invoices for business customers. Returns and exchanges need proper credit notes rather than manual corrections, and all records should be stored for at least five years.
E-invoicing is the next step. The Ministry of Finance has announced a phased start on 1 January 2027 for larger businesses and 1 July 2027 for smaller ones, mainly for business-to-business and business-to-government invoices. If you sell to companies on credit, ask your vendor how they plan to support it.
Note: this is general information, not tax or legal advice. Check the current rules with the Federal Tax Authority (FTA) or your accountant.
Customers, credit sales and offers
Many UAE shops sell on credit to regular customers or companies, run loyalty offers and give item or bill discounts. Make sure these are built in: customer accounts with dues and statements, loyalty points or offers, and discount rules that staff cannot abuse without permission.
Multi-branch control
If you have more than one outlet, the owner should see every branch in one place: sales, stock and cashier activity. Ask whether stock can be transferred between branches and whether prices can be managed centrally. A system chosen for a single shop often cannot do this later.
Getting started without disruption
- Prepare your product list, prices and opening stock in a spreadsheet before installation
- Decide which scanners, printers and cash drawers you need per counter
- Train cashiers on a quiet day, not on launch day
- Run the old and new system side by side for a short time if you can
- Check the first daily reports against your cash count
Common mistakes retailers make
- Importing messy product data. Duplicate items and missing barcodes turn into wrong stock figures. Clean the list first.
- No stock count at the start. Without an accurate opening count, every later report is built on a guess.
- Unrestricted permissions. If every cashier can change prices or give discounts, you will see it in your margins.
- Not setting up returns properly. Decide the return rules and use credit notes from day one.
- Ignoring the reports. Slow-moving stock and low-margin items only show up if somebody looks.
What affects the cost
The price of a retail POS depends on the number of counters, the hardware you need (scanners, printers, weighing scales, cash drawers), the number of branches and any extra modules such as loyalty or an accounting link. Ask for an itemised quote that includes installation, training and support, and ask what is charged for updates and extra users later.
